Productive Monthly Updates: March

It’s March, and everything is in bloom, including our latest set of features.

We’re very proud of our latest innovation: The Permission Builder, which has been in development for several years and is currently the most flexible permission system on the market. But there are so many other features that you don’t want to miss, so be sure to dive in and continue reading the article in full.

Permission Builder

As you know, each user you add to Productive has to have a role assigned to them – Admin, Manager, or Staff – and this will determine which type of information they will see. While these work well for most agencies, we wanted to give our customers more flexibility.

For example, a person with an Admin role can see cost rates. But if that person is in charge of employee payroll, perhaps you don’t want them to see profit margins.

Using the Permission Builder, you can create custom roles that fit your way of work. In the example described above, the person could still see cost rates, but other financial information could be hidden.

After you’ve created the role that fits your needs, you can also test it and see how Productive will look for teammates in that role to ensure they’ll see only the information they’re supposed to.

New Action In Automations: Send an Email

With Automations, you can create automatic actions that take care of everyday activities. Currently, you can automate tasks, budgets, and deals, and soon, you’ll be able to automate invoices as well. Now, when a selected event happens, it can trigger sending an email.

This allows you to create Automations like:

  • Email the project manager when a Task is deleted, overdue, or assigned to someone else
  • Send an email to the Sales team when a Deal is lost
  • Productive AI
  • Notify the person in charge when a Budget is deleted or updated

We’ve also added the ability to duplicate an Automation, meaning you don’t have to create one from scratch.

Sensitive Custom Fields

Custom fields are perfect for using your own data classification, but they’re not available in Productive by default.

Now we’re introducing sensitive custom fields, where you can store data that is available only to specific users:

  • Admins (using standard roles)
  • Users with permission to view and manage sensitive custom fields configured using the permission builder

This is perfect for storing sensitive personal data, like salary information, for example. To learn more about how to set up and use sensitive custom fields, click here.

New In Time Off

When requesting time off, you’ll notice the time-off request interface has been revamped for improved usability and clarity.

  • The calendar where you select your time-off dates now conveniently shows your existing bookings, allowing you to plan more effectively.
  • The display of how many days/hours of time off you have left has been updated for easier comprehension.
  • Past and future time off reservations are organized into two distinct tables to make current and upcoming bookings more visible.

Finally, now you can archive and delete time off categories you’re not using anymore.

Previous Invoice Settings Are Now Saved

When creating a new invoice, you can now use the settings from the last invoice you’ve created. So on the invoice builder screens, select what should be copied from the previous invoice: invoicing method, display as, subsidiary, or template.

You can access the previous invoice on the link when you click on the blue banner.

The first invoice for each client will still keep the default settings, but each following invoice for the same client will copy the settings from the previous one.

Wait, There Is More!

  • You can now see who has which holiday calendar assigned in the Cost Rate report
  • In Docs, you can now use the text editor by clicking on the plus sign while typing
  • Import time entries and expenses to projectiles deals and budgets
