How Tommy Gained Insights Into Their Project Profitability With Productive

We spoke with Dewi Ratri, Head of Production at Tommy, about how Productive helped them gain insights into their project profitability.

How did you come across Productive?

When I joined Tommy four years ago, we used Trello for project management, Harvest for budgeting and invoicing, and Forecast for resource management. We never really knew how much we were spending with these tools. We’d do resourcing in one tool and then the budgets in another, so we couldn’t get the complete picture of our expenses. We also had to manually add people scheduled in one tool to projects and tasks in a different tool. A lot was happening in many different places, and we knew we needed a single tool to bring everything together.

We found Productive during our search, and we decided to give it a go. Since switching to Productive, we have already eliminated some of the manual work we had to do.

How was the onboarding process?

I was the one driving the implementation, but I had help from other departments as well. We do have a Productive champion in Singapore just because we have to support the time difference. In the beginning, we allocated some time to implementation because we had to set up things differently than we had set up in Harvest.

We’re onboarding feature by feature, so we see constant improvements in how we use Productive. We took it slowly and let our people explore the tool.

With Productive, we can see which projects generate more money, which take up most of our time, and what’s been spent vs what the planned expenditure was. Getting our data is easy, and we have more visibility on things.

Did you see improvements since switching to Productive?

With Productive, we can see which projects generate more money, which take up most of our time, and what’s been spent vs what the planned expenditure was. Getting our data is easy, and we have more visibility on things. Before, we just sort of knew that the team was busy and couldn’t take on more work, but now we actually have the data to support that claim. Now we know what everyone is working on.

We saved time by not constantly switching around three different tools to get the data we needed. And, as I mentioned before, the visibility we got with Productive is excellent. We can instantly see where we are and where we need to go.

Another great thing is the time tracking setup since people always have issues filling out their timesheets. With Productive, we set things up correctly in Projects and Budgets, and we assign the work to people in Resourcing. They can see the work in their timesheets as a suggestion to click on it and add it to their time for the day or week. The calendar sync is also helpful, especially for project managers who have a lot of meetings every week.
